Managing events in TRMS

Once you've created an event, you can view, edit, publish, and manage it from the Events page in TRMS. This article explains how to manage an event throughout its lifecycle. For instructions on creating an event, see Creating events in TRMS.


Events page

The Events page displays all of your events in a list, making it easy to find and manage events.

The Status column shows the current state of each event:

  • Not published - The event has been created but is not yet visible to players.
  • Upcoming - The event has been published and has not started yet.
  • Ongoing - The event is currently in progress.
  • Finished - The event has ended.
  • Archived - The event has been archived and is hidden from the default event list.

You can sort the list by selecting a column header. To filter events by status, use the Status filter in the upper-left corner of the page. You can select one or multiple statuses to display matching events.


Event details page

Click on an event in the list to open its event details page.

Overview

The Overview page displays all the details of your event, including:

  • Event name
  • Start and end time
  • Host name and co-host (if added)
  • Prizes
  • Description and event rules
  • Sponsors
  • Categories and leaderboards

From the overview page, you can also:


Marketing

The Marketing tab provides materials to help promote your event.

From this page, you can:

  • Copy the event registration link to share with players.
  • Download event posters and promotional assets for print or social media.

Participants

The Participants page updates in real time as players register through the Toptracer Range app.

Here you can view:

  • Registered participants
  • Demographic insights, such as gender, age, and skill level
  • Email addresses for contacting participants or winners

You can also refresh the list manually to display the latest registration information.


Results

Once the event has ended, the Results page displays detailed performance data, including:

  • Scores
  • Rankings
  • Contact information

Use the results to review event performance and contact participants after the event.


Publishing

When you're ready to make the event available to players, you need to publish it.

  1. Open the event from the Events page.
  2. On the Overview page, click Publish in the banner at the top of the page.
  3. Set a participant limit (optional).
  4. Once published, the event will:
    • Be visible in the Toptracer Range app.
    • Appear on the bay monitors.
    • Open for player registration.

Note: Only players who register in the Toptracer Range app will appear on the event leaderboard and results. Players who play the same game mode without registering will not be included.


Editing events

You can freely edit an event until it has been published. After publishing, editing options depend on the event status:

  • Upcoming - Some details can still be changed, such as the description or prizes.
  • Ongoing - Only limited details can be updated.
  • Finished - Results are locked and the event can no longer be edited.

Archiving events

Archive finished events to keep the Events list focused on active and upcoming events.

To archive an event:

  1. Open the Events page.
  2. Find an event with the status Finished.
  3. Click the Archive icon next to the event.

Once archived, the event is removed from the default event list.

View archived events

Archived events remain available and can be viewed at any time.

  1. Open the Status filter on the Events page.
  2. Select Archived.

The list updates to display all archived events.


Removing events

What you can do with an event depends on its status:

  • Not published - The event can be deleted at any time.
  • Upcoming - Unpublish the event before deleting it.
  • Ongoing - End the event early to move it to the Finished status.
  • Finished - Unpublish the event before deleting it.
  • Archived - Archived events can be viewed through the Archived status filter. If you need to delete an archived event, open it from the archived list and follow the same requirements as for finished events.

Note: Deleting an event is permanent and cannot be undone.


Displaying an event leaderboard

You can display an event leaderboard on your range displays to keep players and spectators updated throughout the event.

The leaderboard updates automatically as scores are submitted during the event.

Tip: Unlike standard leaderboards, event leaderboards preserve results after the event has ended, making them ideal for organized competitions.
